TERMS AND CONDITIONS FOR ICERDA 2023 CONFERENCE
REGISTRATION FEES (EXCLUDING ACCOMMODATION AND TRAVEL)
By registering for and/or attending the ICERDA Conference, all participants/delegates/attendees agree to be bound by, and comply with, these Terms and Conditions. It is the participant's responsibility to read and understand these Terms and Conditions. If you are registering on behalf of another individual, it is your responsibility to ensure the person participating is aware of these terms and accepts them. By completing the registration on behalf of another individual, you are warranting that you have made the participant aware of these terms and that they have accepted these terms.

ACCOMMODATION
Delegates are responsible for organising and paying for their accommodation. A list of on-campus and local accommodation is available at the Accommodation section on the website.
TRAVEL AND VISAS
Delegates are responsible for organising and paying for their travel to the venue.
It is the responsibility of each delegate to arrange their visa, if necessary, for entry to Ghana. Organizers strongly advise early application to the Ghanaian Embassy or High Commission.
The ICERDA Organising Committee is happy to provide a formal invitation letter to registered delegates to support their visa application.

BURSARY SCHEME
We encourage those for whom the costs of travel and accommodation to attend the conference will be challenging to apply for a bursary. A number of bursaries will be available to those who have had their abstract accepted for presentation.

INSURANCE
It is strongly advised that delegates should arrange Travel Insurance to provide cover for any unforeseen events.
PAYMENT
All prices quoted are in US$ or GHS and are not subject to taxes.
Registration fees are payable in advance of the conference. Please pay by 17 August 2023 to take advantage of the Early bird registration fee. Please note your registration cannot be confirmed until payment is made.

Bank Transfers (University/organisations paying on behalf of delegates)
University/organisations paying on behalf of delegates will need to request invoice from UCC conference team via email. Invoice will include unique invoice number.
Payment can then be made via bank transfer (see above).

Credit/debit card payments are not accepted.
Your registration will be confirmed upon receipt of the conference fee payment. Reservations will be cancelled if payment is not made by 29 August 2023.
CANCELLATION & REFUNDS
Substitutions may be made at any time, but please advise change of name.
In the event of cancellation, please contact icerda@ucc.edu.gh immediately by email.
For those who declare they are no longer attending, before the early bird period ends, we will refund full conference registration fee.
For those who declare that they are no longer attending, after the early bird period, we will retain 10% of the registration fee for administrative charges and refund the rest of the fee.
ACCESSIBILITY
We aim to make the Conference as accessible as possible to all, whether impairment is visible or not. Please ensure that you advise us of any requirements including hearing, visual, mobility or other so we can do our best to help you.
Note: The venue has three main levels (ground, first and second levels). There are stairs and ramps that give access to the first and second levels.
PERSONAL INFORMATION
Please note that participants’ contact details will be kept on the ICERDA database, which will only be used by ICERDA.
Unless the Organising Committee has received an explicit request from a delegate disallowing to share his/her contact information (through the Registration Form), a list of all attendees, their affiliate institutions and email addresses will be included in the delegate packs.
The email addresses will also be used to circulate announcements for future ICERDA events.
If you would like your record to be deleted after the conference, please notify by email icerda@ucc.edu.gh.
There will be a conference photographer at the event. By registering for the conference, we assume your consent for pictures, recordings and videos to be taken.
CONFERENCE UPDATES
Information for attendees will be sent electronically to the email address that is provided at the time of registration.
CHANGES IN PROGRAMME
The Organising Committee reserve the right to change all aspects of the Event, including but not limited to, the event name, themes, content, programme, speakers, format, performers, hosts, moderators, venues, and times.
INTELLECTUAL PROPERTY
All intellectual property rights to the event content, and all materials distributed at or in connection with the Event are owned by the Organising Committee, collaborating organisations, &/or speakers presenting at the Event. Participants may not use or reproduce or allow anyone to use or reproduce any trademarks or other trade names appearing at the event, in the event content, or in any materials distributed at or in connection with the event for any reason without the prior written permission from the Organising Committee.
No part of the event may be recorded, reproduced, or transmitted in any form or by any means, electronically or mechanically, including but not limited to video or audio recording, photographing, photocopying or any other information storage or retrieval system known now or in the future, without the explicit written permission of the Organising Committee.
The materials related to your presentation do not contain anything which infringe the statutory or common law rights of any third parties, including any intellectual property rights. You own all intellectual property in the content of your materials and the materials do not infringe copyright law.
To the extent you do not own the intellectual property in any such materials, you confirm that you have obtained from any relevant third party, the legal rights to use such intellectual property for the purpose of your presentation. You will identify third party intellectual property rights appropriately.
You will grant ICERDA a non-exclusive, royalty free, worldwide license to distribute copies of the content of your materials related to the presentation to delegates and other interested parties.
LIMITATIONS ON USE
By registering for the conference, you agree not to sell, trade, transfer, or share your registration, unless such transfer is granted by the organisers of the Conference. If the Organising Committee determines that you have violated this policy, they may cancel your access, retain any payments made by you, and not admit you to future events.
DISRUPTIVE CONDUCT
Participants/delegates/attendees should acknowledge and agree that the Organising Committee reserve the right to exclude any person from registering for, or participating in, any Event. In addition, the Organising Committee may remove any person from and their access to the Event if, in their sole discretion, determine that your participation or behaviour creates a disruption or hinders the Event or the enjoyment of the Event content by other attendees.
Materials should not contain anything which is illegal, discriminatory, blasphemous, defamatory or could bring the ICERDA into disrepute.
